Itinova LLC (“Itinova,” “we,” “us,” or “our”) is a boutique luxury travel curation studio based in Miami, Florida. We respect your privacy and are committed to protecting the personal information you share with us. This Privacy Policy explains what we collect, how we use it, how we safeguard it, and the choices you have. It applies to our website at itinova.co, your private client portal, and all curation and concierge services we provide.

We do not, and will not, sell your personal information. Ever. All client data is treated as strictly confidential and is used only to plan, book, and deliver your travel.

1. Information We Collect

Information You Provide Directly

  • Inquiry & contact details: Your name, email address, phone number, and the trip details you submit through our booking form — including destination, travel dates, travel type, number of travelers, estimated budget, and any notes you share about your trip.
  • Traveler profile & preferences: Information you share with your curator about how you travel — dietary needs, accommodation and seating preferences, accessibility requirements, special occasions, and the names and details of those traveling with you.
  • Portal communications: Messages, requests, and notes you send through your private portal concierge line or to your curator.

Travel Documents Required for Booking

To book flights, hotels, transfers, and cross-border travel, we may need to collect and process documents and identifiers required by airlines, properties, governments, and our travel partners. These may include:

  • Passport details (full name, passport number, nationality, date and place of issue, and expiration date)
  • Visa information and travel authorizations (e.g., ESTA, ETIAS, or destination-specific entry permits)
  • Government-issued ID, date of birth, and known traveler or global entry numbers
  • Travel insurance details and, where required for entry, relevant health or vaccination documentation

Why we need it: These details are mandatory to confirm reservations, satisfy airline and government entry requirements, and ensure your travel proceeds without disruption. We collect only what a given booking requires, retain it only as long as needed for that trip and our legal obligations, and never use it for any purpose beyond arranging your travel.

Payment Information (Stripe)

We use Stripe, Inc., a PCI-DSS Level 1 certified payment processor, to handle all payments and to securely store a payment method on file for your convenience and for authorized charges related to your services and bookings.

  • What Stripe stores:Your card is stored as a secure token within Stripe’s vault so that service fees, membership dues, and approved trip costs can be charged without re-entering your card each time.
  • What Itinova can see: We do not store or have access to your full card details — the long number, CVV, or expiration date. We see only limited details Stripe provides — such as the card brand and last four digits — to identify your payment method.
  • Stripe’s role:Stripe processes and protects your payment data under its own privacy terms. We encourage you to review Stripe’s Privacy Policy at stripe.com/privacy.

Information Collected Automatically

When you visit itinova.co or use your portal, we may collect limited technical data — such as IP address, browser type, device information, and usage activity — through cookies and similar technologies to keep the site secure and functioning. You can manage cookies through your browser settings.

2. The Concierge Chatbot (Powered by Claude)

Within your private portal, your always-open concierge line is assisted by an AI chatbot powered by Claude, an AI model developed by Anthropic. This helps us capture and respond to your requests at any hour.

  • How it works: When you send a note through the portal, your message is read at once and, where possible, answered or actioned by the Claude-powered assistant. Every request is recorded in your portal and your human curator is alerted so a real person — the one who knows how you travel — carries it out.
  • What is processed: The content of your concierge messages and the trip context needed to assist you (such as your itinerary and preferences) may be processed by the AI to understand and fulfill your request.
  • Confidentiality & training: Your concierge conversations are confidential. Itinova does not sell this data and does not use it to train AI models. Anthropic processes data on our behalf as a service provider under its commercial terms and does not train its models on our business or client data.
  • A human is always in the loop: The chatbot supports your curator — it does not replace them. Bookings, changes, and sensitive actions are confirmed and carried out by a real person.

3. How We Use Your Information

We use your information solely to deliver and improve our services, including to:

  • Plan, research, build, and book your itineraries and reservations
  • Confirm travel and satisfy airline, property, and government entry requirements
  • Process payments, service fees, and membership dues through Stripe
  • Operate your private portal and respond to concierge requests
  • Communicate with you about your trips, account, and our services
  • Maintain the security, integrity, and proper functioning of our platform
  • Comply with legal, tax, and regulatory obligations

4. How We Share Information

We never sell your personal information, and we do not share it for advertising. We share information only as needed to deliver your travel, and only with parties bound to protect it:

  • Travel suppliers: Airlines, hotels, transfer companies, tour operators, and our preferred partners — to confirm and fulfill your specific bookings.
  • Service providers: Trusted vendors who operate our business under confidentiality obligations, including Stripe (payments), Anthropic (concierge AI), and our portal and hosting infrastructure.
  • Affiliated agency: Where required to issue bookings, our affiliated host agency (Fora) for the limited purpose of processing your reservations.
  • Legal requirements: When required by law, regulation, or valid legal process, or to protect the rights, safety, and security of our clients and our business.

5. Data Security & Confidentiality

We treat all client information as strictly confidential. We use industry-standard safeguards — including encryption in transit, access controls, and tokenized payment storage through Stripe — to protect your data. Access to traveler documents and payment details is limited to the curators and staff who need it to serve you. While no system can be guaranteed perfectly secure, we are committed to protecting your information and to notifying you promptly of any incident that materially affects it, as required by law.

6. Data Retention

We keep your personal information only as long as necessary to provide our services, maintain your account and travel history, and meet legal, tax, and accounting obligations. Sensitive travel documents — such as passport and visa details — are retained only as long as needed for your trips and applicable record-keeping, after which they are securely deleted. You may request deletion of your information at any time, subject to obligations we are legally required to fulfill.

7. Your Rights & Choices

Depending on where you live, you may have the right to:

  • Access, correct, or update the personal information we hold about you
  • Request deletion of your personal information
  • Withdraw consent or ask us to limit how we use your information
  • Remove a stored payment method from your account
  • Receive a copy of the information you have provided to us

8. Children's Privacy

Our services are intended for adults. We do not knowingly collect personal information directly from children. When a trip includes minor travelers, we collect their details only from the booking adult and solely to arrange that travel.

9. International Travelers & Data Transfers

Because we arrange travel worldwide, your information may be processed in countries other than your own, including the United States. Where we transfer data internationally, we take steps to ensure it remains protected in line with this Policy and applicable law.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the “Last Updated” date above and, where appropriate, notify you. Your continued use of our services after an update constitutes acceptance of the revised Policy.
